Deploy Fairsend for Outlook in your company
As an administrator, you deploy the add-in for your organization in the Microsoft 365 admin center. Your users then find the button in Outlook without installing anything themselves, and the check for large attachments when sending is active.
Manifest URL
You enter this URL in the admin center. It always delivers the current version of the add-in.
https://addin.fairsend.de/addin/outlook/manifest.xmlDeploy in five steps
- Open admin.microsoft.com and choose Settings › Integrated apps.
- Choose Upload custom apps, select Office Add-in as the app type, and then Provide link to manifest file.
- Paste the manifest URL and confirm the validation.
- Decide who gets the add-in: only yourself for testing, specific users or groups, or the whole organization.
- Complete the deployment. It can take up to 24 hours until the add-in appears in Outlook. Each user signs in once with their Fairsend account.
Microsoft loads new versions from the manifest URL. A new deployment is not necessary for that.
For testing, we recommend assigning the add-in to yourself or a small group first.
Requirements
Microsoft 365
A Microsoft 365 plan with Exchange Online and an account with the Global Administrator or Exchange Administrator role.
Fairsend account per user
Each user signs in with their own Fairsend account. A free account is enough. The limits of the respective plan apply, as with sending through the website.
Check when sending
The notice when attaching files and the check when sending only start if the add-in is deployed through the admin center. Anyone who adds the add-in themselves only gets the button.
Network and allowlisting
Outlook must be able to reach these addresses over HTTPS. The sign-in window opens as an Outlook dialog.
addin.fairsend.de, www.fairsend.de, appsforoffice.microsoft.com
What works on which platform
| Outlook | Button and file selection | Notice when attaching | Check when sending |
|---|---|---|---|
| Classic Outlook for Windows from version 2206 | Yes | Yes | Yes |
| New Outlook for Windows | Yes | Yes | Yes |
| Outlook on the web | Yes | Yes | Yes |
| Outlook for Mac from version 16.65 | Yes | Yes | Yes |
| Older versions and Exchange Server without Mailbox 1.12 | Yes | No | No |
| Outlook for iOS and Android | No | No | No |
Where the check when sending is missing, Outlook sends as usual. Your users send large files there with the button in the ribbon. On a smartphone, sending works through fairsend.de in the browser.
Data protection and data
Files
Selected files are encrypted in the add-in and then uploaded to Fairsend, just as when sending through the website. Only the download link goes into the email.
The add-in does not read the text of the email. It reads the recipient addresses and, if the user chooses so, the attachments of the email currently being edited. It inserts the link into the email and does not send any email itself.
Sign-in
After sign-in, the add-in stores a sign-in token in Outlook's storage, not a password. Signing out in the add-in deletes it. Each user can also end access in Fairsend under Account › Connected apps.
Permission
The add-in only requests the permission to read and change the email that is currently open (ReadWriteItem). It has no access to the rest of the mailbox.
More about encryption on the Security page, everything legal in the privacy policy. Please clarify with your data protection or IT security office whether the use fits your organization's requirements.
Remove the add-in
In the admin center under Settings › Integrated apps, select Fairsend and then Remove. The add-in then disappears from Outlook. Links that have already been sent stay valid until they expire.
Help
The button does not appear in Outlook.
After deployment, it can take up to 24 hours. Restart Outlook afterwards. In Outlook on the web, pin the button under Settings › Mail › Customize actions.
There is no notice about large attachments when sending.
The check requires deployment through the admin center and an Outlook version from the table above. It only applies to attachments that Outlook has accepted. For files above the attachment limit of your mailbox, the button is the right way.
The sign-in window does not open or stays empty.
Check whether a proxy or filter blocks the addresses listed under Requirements. In the browser, Outlook on the web must be allowed to open pop-ups.
Can I test the add-in without deploying it?
Yes. Assign it only to yourself in the admin center. Individual users can also add the manifest in Outlook themselves, but then the check when sending is missing.
What happens if Fairsend cannot be reached?
Outlook then sends normally. The add-in does not hold back any email, and the check when sending always allows “Send anyway”.
